How to Follow Up on an HVAC Quote
HVAC jobs split into two worlds: the emergency ("my AC is dead in July") and the planned upgrade ("the furnace is on its last winter"). The emergency closes itself. The planned job — the higher-margin one — almost always goes quiet first, then closes weeks later for whoever stayed in touch. Your follow-up is what wins that second kind.
When to send the first HVAC follow-up
Within 48 hours of the estimate. For a comfort-driven purchase, the homeowner is weighing your number against "can we get one more summer out of the old unit." Your follow-up's job is to keep the new-system decision warm before they default to limping along.
If the quote was for a replacement (not a repair), reference the efficiency or rebate angle — it gives them a reason to act now instead of next season.
What to actually say
"Just following up" gives them nothing. Anchor it to a real reason:
"Hi [name] — wanted to confirm the estimate for the [furnace/AC] came through and see if you had questions on the efficiency rating or the rebate. Happy to break down operating-cost savings vs. the current unit if that helps you decide. No pressure."
Now you've given them value (savings math, rebate help) instead of a nudge.
How many times to follow up on an HVAC job
Most techs follow up once and move on. But planned HVAC replacements run on the homeowner's timeline — payday, a heat wave, the first cold snap. The yes often lands on touch three or four:
- Day 1: estimate sent, "take your time."
- Day 3: soft check-in + offer to clarify efficiency or rebates.
- Day 7: easy-out nudge ("want me to hold this pricing?").
- Day 14: scheduling/scarcity ("install calendar fills fast before [season] — want a slot?").
- Day 21: value touch — financing option or rebate deadline.
- Day 30: graceful close.
