How to Follow Up on Quotes Without a CRM (A System That Fits in Your Truck)
Every "how to grow your contracting business" article tells you to buy a CRM. Then you open one and it is forty fields, a pipeline view, and a $99 a month bill for stuff you will never touch. So you close the tab and go back to the way you have always done it: a notebook on the dash and your memory.
Here is the good news. You do not need a CRM to stop losing quotes. You need a system, and a system can be three things you already own. The whole point is just this: every quote you send gets followed up, on a schedule, even on the weeks you are buried. That is the entire game. Software is just one way to get there.
Let me give you the no-software version first, because it works.
The notebook-and-phone system
You need to track two things per quote: who it is, and when to touch them next. That is it. Forget pipelines and statuses.
1. One running list. A notebook, the Notes app, a cheap whiteboard in the shop. One line per open quote: name, job, date sent, next-touch date. When a quote goes out, it gets a line. When a job closes or dies, you cross it off.
2. A repeating reminder rhythm. The proven cadence for trade quotes is day 1, day 3, day 7, day 14. Set a recurring phone alarm for "check the quote list" every morning, or every Monday Wednesday Friday. When the alarm goes off, you scan the list and text anyone whose next-touch date has passed.

When to graduate from the notebook
Rough rule of thumb. If you send fewer than three or four quotes a month and you are rarely too busy to check a list, stay on paper. It is free and it works.
